Job summary

Texas Tech University Health Sciences Center in Lubbock, TX is seeking a Sr Clinical Assistant to serve as the first point of contact in virtual school-based and medical provider programs focused on mental health for Pre-K through 12th grade.

Visa Information

TTUHSC, at its sole discretion, may initiate new H-1B I-129 visa petitions in accordance with the directive issued by Governor Abbott. Approval from the Texas Workforce Commission is required. Position Description

Provides excellent customer service as a first point of contact in virtual clinics for both a school-based and medical provider program. These programs focus on mental health care for children in Pre‑K through 12th grade. This position requires a team member with excellent communication skills. Disseminates necessary information for scheduled appointments to providers, clinicians, school staff and parents/guardians. The Sr Clinical Assistant will facilitate coordination between the TCHATT, CPAN, and PeriPAN divisions in order to efficiently schedule and see patients needing services offered through the programs.

Major/Essential Functions

• Complete patient assessments as needed, coordinate with school staff to obtain vital signs, and document appropriately in Trayt and the Electronic Health Record (EHR).
• Communicate with school staff and medical providers as needed to obtain assessments.
• Confirm scheduled appointments with schools and clinics to ensure access to HIPAA compliant rooms.
• Help maintain an acceptable abandonment (no show) rate. Offers appointment reminders via email, text, and phone calls.
• Report all pertinent findings to inter-professional team. Prepare charts as necessary for next scheduled clinic, provide physician with all necessary results, and medical records as requested.
• Answer messages from patients by clinic policy, communicate necessary patient information to the inter-professional team in a timely manner.
• Answer telephones assisting patients with appointments and doctor/staff messaging.
• Provide full registration of new patients in the system as well as verification and updating existing patient information in system.
• Problem-solve issues related to the retrieval of medical information. Coordinates clinical services provided to patients.
• May be required to provide coverage for Patient Navigators.
• Tracks communication among parents, school staff, providers, and clinicians for initial appointments.
• Collaborates with professionals in a variety of settings such as higher education institutions, school districts, medical clinics and others through face-to-face, email, phone or mail contact.
• Maintains administrative workflow by studying methods, implementing processes, developing reporting procedures, and implementing changes when needed.
• Constantly maintains a professional rapport and upholds TTUHSC values throughout all interactions.
• Maintains and updates professional knowledge and proficiency through continuing education, staff meetings, workshops and serving on special committees.

Required Qualifications

A minimum of a High School diploma or equivalent; graduation from an approved certified program for assistants in the area of required specialty. Certification by an approved accredited certifying agency in the specialty in which the particular work will be performed; a minimum of two years of directly related experience.

Preferred Qualifications

• Experience as a supervisor,service delivery, and case management fundamentals.
• Knowledge of applicable laws.
• Experience in a clinical setting and/or teleheath.
• CMA certification preferred.
