Visa Information

TTUHSC, at its sole discretion, may initiate new H-1B I-129 visa petitions in accordance with the directive issued by GovernorAbbott. Position Description

This position is responsible for ensuring the smooth operation ofthe clinic patient flow and serving as the primary contact forpatients. Responsible for scheduling appointments, preparingnecessary paperwork before the patient visits, receiving patients,and maintaining records. In addition, this position is responsiblefor processing charges for clinic services, filing insuranceclaims, responding to requests for information from patients andinsurance companies and maintaining related information for thedepartment. Work is performed in usual clinic conditions andrequires a high degree of direct contact with patients, staff, andinsurance companies. Employees may have cash-handlingresponsibilities.

Major/Essential Functions
  • Establishes close relationships with and serves as the primarypoint of contact for families.
  • Communicates with care team members (mental health clinicians,senior clinic assistants, and providers) to facilitate patientcare.
  • Remains aware of current services offered by serviceproviders.
  • Maintains strict confidentiality in accordance with agencypolicies.
  • May meet with patients and guardians before appointments toreview and update pharmacy preferences, location during the time ofappointment, and contact information.
  • Maintains documentation of all patient and family encountersand completes reporting requirements according to organizationstandards.
  • Tracks patient information and schedules confidentially.
  • Tracks patient attendance at medical appointments and initiatesoutreach and missed appointment procedures, as necessary.
  • Gathers all appropriate forms and consents.
  • Checks all platforms for appropriate authorizations anduploading to Isilon and Epic for providers and clinicians.
  • Coordinates and schedules initial intakes and communication ofappointment time to parents/guardians, providers, clinicians, andschool staff.
  • Coordinates and schedules group sessions and communication ofappointment times to parents/guardians, providers, clinicians, andschool staff.
  • Assists with rescheduling of appointments when needed.
  • Tracks communication with parents, school staff, providers, andclinicians for initial appointments.
  • Collaborates with professionals in a variety of settings suchas higher education institutions, school districts, medical clinicsand others through face-to-face, email, phone or mail contact.
  • Constantly maintains a professional rapport and upholds TTUHSCvalues throughout all interactions.
  • Maintains and updates professional knowledge and proficiencythrough continuing education, staff meetings, workshops and servingon special committees.
Occasional Duties
  • Additional duties as assigned.
Required Qualifications

High school diploma or equivalent. Three (3) years of customerservice, office, or related experience, with two (2) of those yearsin a healthcare or dental clinic setting preferred. Additionaleducation may substitute for the experience requirement.

Preferred Qualifications
  • Prior experience in a healthcare or medical office setting, EHR(Epic), appointment scheduling, or administrative support.
