Job summary

Position Description

Employees in this position are responsible for managing theday-to-day administrative operations of a clinical department.Persons in this position must exercise a high degree of initiativeand independent judgment, and should have a general knowledge ofHealth Sciences Center policies and procedures as they relate todepartment financial management and personnel administration.Provide direct supervision to department staff personnel. Work isperformed under usual office conditions; deadlines, meetings andmaybe some travel. Additionally, work requires considerable contactand coordination with HSC administrative officials, administrativepersonnel of other departments and units, granting agencies, otherinstitutions, and government organizations.

Major/Essential Functions
  • Coordinate administrative and operational support for SWAIDservices, including staffing coordination, scheduling,documentation, reporting, and communication with internal andexternal partners.
  • Coordinate and review faculty and resident PTO requests toensure appropriate clinical coverage and continuity of patientcare.
  • Manage and coordinate EPIC template builds and schedulemaintenance for SWAID, Adult Psychiatry, and Health & Wellnessclinics, including faculty and resident schedules, and providescheduling support for EAP as needed.
  • Coordinate clinical operations and reporting for AdultPsychiatry, Health & Wellness, and SWAID clinics, withresponsibility for referral workflows, clinic schedule utilization,patient access, and front-desk process compliance.
  • Manage Amion for UMC, CCH and CMC schedules (updated box callschedule) for all faculty leave requests and coverage.
  • Manage the department's patient no-show monitoring andnotification process, including daily review of no-shows, issuanceof warning letters, coordination with faculty regarding potentialdischarge, completion of approved termination processes, and weeklyreporting to the Senior Clinical Administrator.
  • Help facilitate/coordinate department events (resident, lightin the darkness, suicide prevention walk, etc.)
  • Job duties include tasks as assigned by the Senior ClinicalAdministrator and Department Chair
  • Manage assigned administrative responsibilities, projects, andrecurring deadlines to ensure departmental operational needs arecompleted accurately and timely.
  • Prepare, complete, and distribute required monthly operationalreports and invoices, including the EAP Invoice, UMC Invoice, andCPWE Report, ensuring accurate and timely submission to theappropriate team members.
  • Review clinical schedules on the provider productivity reportto review monthly with the supervisor.
  • Review clinical schedules for SWAID on the providerproductivity report to review monthly with the supervisor.
  • Serve as the designated administrative coordinator for SWAIDoperations and ensure required meetings, communications, reporting,and administrative workflows are consistently maintained.
  • Maintain consistent communication with the Senior ClinicalAdministrator regarding clinic operations, outstanding issues,priorities, and assigned responsibilities.
  • Independently manage routine clinic administrative issues andensure identified problems are carried through to resolution.
  • Coordinate and manage department credentialing,recredentialing, privileging, and payor enrollment activitiesforall applicable clinicians across UMC, Covenant, TTUHSC, StarCare,and other required clinical sites and payors. Ensure credentialingrequirements are initiated in a timely manner, actively monitored,and followed through to completion to prevent delays in clinicalstart dates, privileges, scheduling, or billing.
  • Ensure assigned administrative responsibilities remainappropriately managed during planned absences to prevent disruptionto clinic operations.
  • Attend designated departmental, School of Medicine, andcentralized operational meetings on behalf of or in support of theSenior Clinical Administrator to remain informed of processes,requirements, and changes impacting clinic operations anddepartmental workflows. Serve as a follow-up resource to ensurerelevant information and action items are communicated andimplemented within the department.
Required Qualifications

Bachelor's degree in health care administration or business-relatedarea. Two years of progressively responsible administrative andsupervisory experience. Working knowledge of the principles andfundamentals relating to budgeting, accounting, recordkeeping, andbusiness writing; ability to establish and maintain effectiveworking relationships; knowledge of general administrativeprocedures that apply to functions such as personnel, payroll, andpurchasing; ability to communicate effectively, both orally and inwriting; ability to exercise judgment in unusual or new situations,and able to exercise discretion when processing confidentialmaterial.

Preferred Qualifications
  • Masters Degree in Healthcare Administration.
  • 5 years Clinical Management.
