Job summary

Joliet Junior College in Joliet, IL seeks a Specialist I, Registration (TEMP) to assist students with online and in-person registrations, verify records, and process transcripts.

You will work in the Enrollment Center, scan documents, answer questions about registration, transcripts, and grades, and support cross-training in records areas. This is a part-time, non-exempt position with occasional travel to different locations.

Qualifications

  • High School Diploma and one year of college education.

Responsibilities

  • Assist students with facilitating online and phone registrations within the Enrollment Center and work with Registration and Records to troubleshoot and resolve problems.
  • Identify, investigate, and resolve issues and processing errors regarding registration and records areas.
  • Assist instructors regarding grade changes, reinstatements when needed.
  • Assist military, local state, and governmental agencies on securing requested confidential student record documents when needed.
  • Enter, verify and register students using Colleague system and make necessary corrections.
  • Assist in maintaining semester registration files as well as processing transcripts for in person-requests.
  • Scan all registration documents.
  • Answer student questions related to registration and records, transcripts, grades, and record areas.
  • Cross-train in areas for transcripts, and records; assist with related duties in the records area when needed as well as work on special projects as directed by the Director of Registration & Records.
  • Perform other related duties as assigned.

CLASSIFICATION: Non-exempt
UNION: TOSSC-AFT Local 604
REPORTS TO: Registration Supervisor
PLACEMENT: 105
HIRING RANGE: $20.70 - $21.94 per hour

POSITION SUMMARY

Provides a variety of duties for the registration and records areas. Assists students with registration, verifies records in the system and updates as needed. Assists department with processing transcripts, resolves issues. Scans documentation. Provides information. A willingness to work at different locations is required.

MINIMUM QUALIFICATIONS


  • 1. High School Diploma and one (1) year of college education.

  • 2. Attention to detail, excellent organizational skills, initiative and multitasking ability.

  • 3. Excellent decision and problem-solving skills.

  • 4. Ability to work independently with a minimum supervision, handle routine and complex issues and assist in conflict resolution.

  • 5. Ability and willingness to work cooperatively with a diverse community.

  • 6. Knowledge of the college policies, procedures and courses as they relate to the student service areas.

  • 7. Personal computer skills and knowledge of several software and web applications.

  • 8. Experience in phone system, fax/printer/copy machines and scan machines.

  • 9. Ability to establish and maintain cooperative and effective working relationships with other members of the college and community, displaying cultural competence as well as emotional intelligence.

  • 10. Demonstrated commitment to the college's core values of respect and inclusion, sustainability, integrity, collaboration, humor and well-being, innovation and quality.


PREFERRED QUALIFICATIONS


  • 1. Associate's Degree.

  • 2. English and Spanish verbal and written communication proficiency.

  • 3. Demonstrated multicultural competence.


PHYSICAL DEMANDS

WORKING CONDITIONS

Duties are performed indoors in the usual office and/or outdoor environment.
