Job summary

HealthPartners in Minnesota is seeking a Scheduling/Reception specialist to handle patient appointment scheduling, reception, clerical tasks, and insurance verification. The role requires strong communication, HIPAA awareness, and the ability to manage multiple tasks in a fast-paced environment.

The position offers 40 hours weekly, Monday–Friday, with a focus on delivering excellent customer service to patients, visitors, and staff.

Qualifications

  • 4 years’ experience in a direct customer/patient service position and computer/data entry required, and 2 years’ experience with patient scheduling in a customer support related role.
  • Excellent communication and interpersonal skills.
  • Ability to write, read, and speak English clearly.
  • Ability to deliver an exceptional customer experience to both internal and external customers.
  • Ability to deal with ambiguity and maintain composure in a stressful, ever-changing, fast-paced environment.
  • Ability to prioritize and navigate multiple duties and tasks in a fast-paced environment.
  • Working knowledge and adherence of HIPAA, organizational policies, and department protocols to protect patient health information.
  • Strong organizational skills and ability to function both as a team member and autonomously.

Responsibilities

  • Provide patient appointment scheduling, reception, clerical and customer service functions to all patients, visitors, and employees.
  • Schedule appointments, procedures, patient reception, appointment check-in, insurance verification and other related duties.
  • Knowledge of scheduling practices for Lakeview and Regions hospitals, including OR scheduling functions related to breast surgery, and medical/surgical terminology; communicate effectively in a professional manner.

Job description

To provide patient appointment scheduling, reception, clerical and customer service functions to all patients, visitors, and employees. These functions include: scheduling appointments, procedures, patient reception, appointment check-in, insurance verification and other related duties as assigned. This position requires a thorough knowledge of scheduling practices for Lakeview and Regions hospitals,including OR scheduling functions that are related to breast surgery, medical/surgical terminology,and must have good communication and interpersonal skills. This work may vary in percentage of time per function on a daily basis.

Schedule: 1.0 FTE - 40 hrs weekly: Monday-Friday - 8:00am-4:30pm

MINIMUM QUALIFICATIONS:

  • Education, Experience or Equivalent Combination:

    • 4 years’ experience in a direct customer/patient service position and computer/data entry required, and 2 years’ experience with patient scheduling in a customer support related role.

  • Licensure/ Registration/ Certification:

    • None

  • Knowledge, Skills, and Abilities:

PREFERRED QUALIFICATIONS:

  • Education, Experience or Equivalent Combination:

    • 2 years’ experience in healthcare setting.

  • Licensure/ Registration/ Certification:

    • None

  • Knowledge, Skills, and Abilities:

    • EPIC medical records experience or healthcare related computer programs.

    • Competency in medical/surgical terminology

    • Ability to schedule radiologic appointments.

    • Demonstrates ability to communicate effectively in a personable and professional manner
