Job summary

Sciens Building Solutions is seeking a Service Coordinator in Poway, CA to manage scheduling for preventative maintenance inspections and emergency calls, and to dispatch technicians as needed. You will field customer calls, analyze issues, and ensure timely service delivery with accurate documentation.

The role emphasizes communication with customers and internal teams, accurate maintenance of service records, and support for invoicing and contract administration.

Qualifications

• Two to five years of experience in customer service.
• Strong organizational skills.
• Ability to multi-task and remain calm under pressure.
• Computer literacy: Outlook, Excel, Word, and PowerPoint.

Responsibilities

• Schedule preventative maintenance inspections and emergency calls using the dispatch board.
• Answer calls from customers and dispatch technicians for emergencies as required.
• Generate and monitor internal and external service correspondence; verify accuracy and timeliness of work orders.
• Assist with pricing of labor and materials per contract requirements.
• Prepare subcontract work orders for invoicing, including test reports, deficiencies and quotes.
• Update customer information in databases and maintain schedules (daily/weekly/monthly).
• Process work orders and invoices; obtain purchase orders as needed.
• Communicate effectively with customers and follow up on inquiries and special requests.
