Qualifications

• Associates or Bachelors degree preferred, or a combination of related experience and education.
• 5+ years of scheduling experience (preferably surgical scheduling) or closely related healthcare administrative experience.

Responsibilities

• Coordinate all OR surgeries and procedures.
• Monitor front office workflow and adjust for optimal service delivery.
• Verify patient demographics and obtain pre-certification from insurers for OR surgeries and procedures.
• Obtain patient medical clearance.
• Resolve patient issues and answer policy questions.
• Place surgical confirmation calls one day before scheduled dates.
• Schedule post-op follow-up visits with providers.
• Act as liaison between referring physicians and surgeons for clinical data and scheduling.
• Train and mentor other Surgical Scheduling Coordinators.
• Distribute paperwork to coordinate surgeries.
• Record hospital reservations and pre-admit data in CERNER/EPIC systems.
• Coordinate surgeries across multiple institutions with different requirements.
• Coordinate surgeries between surgeons and departments for co-surgical cases.
• Monitor OR block time to assign appropriate rooms.
• Coordinate COVID testing for surgical cases.
• Inform OR staff of special instruments needed.
• Work with clinical and billing teams to ensure coverage and approvals.
• Coordinate peer-to-peer communications between insurers and surgeons.
• Collaborate with hospital billing for case authorization.
