Job summary

Mount Sinai in New York seeks a Senior Surgical Scheduler to lead a team of schedulers, oversee OR scheduling across locations, and troubleshoot complex scheduling issues.

The role requires 5+ years in surgical scheduling or healthcare administration, an associate's or bachelor's degree, and proficiency with EPIC and CERNER. You will ensure accurate patient data, obtain pre-certifications, and coordinate with surgeons and staff to deliver seamless care.

Qualifications

• 5+ years of scheduling experience (preferably surgical scheduling) or closely related healthcare administrative experience.
• Associates or Bachelors degree is preferred.
• Leads and mentors other Surgical Scheduling Coordinators or less senior staff.

Responsibilities

• Coordinate all O.R. surgeries and procedures.
• Monitor front office workflow and adjust to ensure optimum delivery of service.
• Verify patient demographics and obtain pre-certification from insurance carriers for all O.R. surgeries and procedures.
• Obtain patient medical clearance.
• Take initiative in resolving patient issues or questions regarding policies and procedures.
• Place surgical confirmation calls one day in advance of a scheduled surgery or procedure date.
• Schedule post-op follow-up visits with providers.
• Function as liaison between referring physicians and surgeons for communication of clinical data and scheduling.
• Train and mentor Scheduling staff within the unit.
• Collect and distribute appropriate paperwork to internal and external parties to coordinate the surgeries.
• Record hospital reservations and pre-admit data in the CERNER system.
• Input surgical information in EPIC.
• Coordinate surgeries at multiple institutions with different requirements.
• Coordinate surgeries between multiple surgeons and departments for co-surgical completion.
• Monitor hospital OR block time to assure proper room assignment.
• Coordinate COVID testing appointments for all surgical cases.
• Inform OR staff about special instruments needed for a case.
• Work with clinical and billing teams to ensure coverage and authorizations before surgery.
• Coordinate peer-to-peer communications between insurance carriers and surgeons.
• Work with hospital billing for coordination of case authorization.
• Perform other duties as assigned.
