Job summary

The University of Alabama at Birmingham is seeking an Events Specialist Senior-SOD to plan and execute high-profile events for the School of Dentistry. This in-office, split appointment role reports to the Executive Director of Alumni Affairs and Senior Director of Development, with a strong emphasis on on-site presence, relationship building, and cross-department collaboration.

Responsibilities include leading the full event lifecycle from strategy to post-event review, supporting Alumni

Qualifications

• Bachelor's degree and five years of related experience required.
• Work experience may substitute for education requirement.
• Experience in alumni relations, advancement, or development within a higher education or nonprofit setting is a plus.

Responsibilities

• Plan, coordinate and execute professional and special events for the School of Dentistry.
• Determine scope of event services to ensure well-planned events that promote hospitality and PR.
• Plan and Produce Events: Build timelines, lead meetings, set agendas, drive decisions, and approve minutes.
• Vendor Contract Coordination: negotiate with caterers and venues, monitor terms and budget.
• Budget Stewardship: monitor expenditures and maintain financial docs.
• Protocol and Guest Experience: ensure proper university protocol and run-of-show accuracy.
• Quality and Compliance: maintain event records and historical files.
• Team Enablement: support staff development in event planning processes.
• Stakeholder Partnership: attend meetings and keep leadership informed.
• Alumni Engagement: support alumni membership growth and engagement initiatives.
• Communications Support: assist with Alumni Association publications and newsletters.
• Administrative Support: provide day-to-day support to Senior Director.
