Job description

STV is seeking a Senior Billing Specialist for our Project Accounting group. This position is hybrid (3 days/week in the office) and will be located in our Douglassville, PA office.

The Senior Billing Specialist will actively engage in portfolio-based billing on assigned projects. Working with minimal supervision, the billing specialist collaborates with the project analyst and other project accounting staff to ensure accurate and timely invoicing.

Billing Responsibilities
  1. Draft project invoices accurately and in compliance with contract billing terms for assigned projects.
  2. Audit billing information on the EO and in the ERP system during project setup.
  3. Review assigned contracts, modifications, supplements, amendments, and task orders, including terms of compensation, contract terms, invoice formats, invoicing frequency, supporting document requirements, and approved billing amounts.
  4. Support the creation of invoicing templates to meet contract requirements, with assistance from the Billing Supervisor.
  5. Route invoices to the Project Analyst and Project Manager for approval before finalization.
  6. Maintain document control of invoice files, including working and final invoices, as well as approvals.
  7. Request reinstatement of invoices as needed, ensuring reinstated invoices are re-run and there are no unallocated credits at month-end.
  8. Review Work in Progress (WIP) alignment with revenue and report to the Project Analyst if further analysis is needed.
  9. Develop solutions to billing issues and collaborate with systems design to implement new features.
  10. Support submitting invoices to clients or client portals as requested.
  11. Assist in invoicing of retention balances under the direction of the Project Analyst or Project Manager.
  12. Support reconciliation of annual or end-of-project overhead audits as required.
  13. Advise corporate accounting (AR) regarding the application of cash receipts to the appropriate project and invoice.
Qualifications
  • HS/GED Diploma required.
  • Bachelor's degree in accounting, Finance, or Business Management/Administration preferred or equivalent experience.
  • Minimum of 8+ years of related experience.
  • Strong planning, organizational, and communication skills.
  • Proficiency in Microsoft Excel required.
  • Experience in the A/E/C industry preferred.

Compensation Range: $55,640.14 - $74,186.85
