Job summary

City of Logan’s Public Works Department seeks a detail-oriented administrative assistant to support the Department Head and Division Manager. The role handles routine and complex secretarial tasks with strong Microsoft Office skills and efficient document handling.

Work 20 to 30 hours per week, between 8:00 a.m. and 5:00 p.m., Monday–Friday. Preference given to two years of related experience or post-high school secretarial training; benefits are not provided for part-time positions.

Qualifications

  • Must be a graduate of a standard senior high school or equivalent.
  • Experience equivalent to two (2) years full-time secretarial/clerical support work or completion of a post high school training program in secretarial sciences including the use of word processors.

Responsibilities

  • Conducts permit intake and tracks permit applications while ensuring timely processing and issuance of permits.
  • Verifies required information submitted with applications and determines appropriate processes for simple and complex applications.
  • Issues permits and schedules inspections; answers questions regarding permit processes and maintains inspection/permitting files.
  • Maintains files of inspections, approved documentation and permits; follows up on incomplete applications and expired permits.

Description:

Under general supervision, performs a variety of routine and complex secretarial and administrative/office support functions for the Department Head and Division Manager of the Public Works Department and Engineering Division.

Work 20 to 30 hours per week. Some flexibility may be available with work schedule, but must be between 8:00 a.m. – 5:00 p.m., Monday - Friday.

Qualifications:

Must be a graduate of a standard senior high school or equivalent. Preference given to experience equivalent to two (2) years full-time secretarial/clerical support work or completion of a post high school training program in secretarial sciences including the use of word processors.

Responsibilities:

Conducts permit intake and track permit applications while ensuring timely processing of applications and issuance of permits. Verifies required information submitted with applications. Determines appropriate processes for simple and complex applications and expedites processing and approval as possible. Upon completion of review process, issues permits and schedules inspections as necessary. Answers questions regarding Work in the Right of Way permits and the application and review processes. Maintains files of inspections, approved documentation and permits. Reviews files for incomplete applications and expired permits and determines necessary follow-up action to be taken.

Knowledge, Skills, and Abilities:

Knowledge of office management practices and procedures.

Knowledge of departmental operations and functions.

Knowledge of general bookkeeping/billing practices and procedures.

Knowledge of computer software used to complete assigned projects. Microsoft Suites including Excel, Word, and Power Point.

Knowledge of mapping programs helpful.

Skill in establishing and maintaining effective working relationships with corporate/government organization staff, other City staff, and the public.

Skill in following complex oral and written instructions, policies, and procedures.

Skill in operating a variety of office equipment, including word processor, computer terminal, document reproduction and scanning, and telephone.

Ability to maintain and handle confidential information.

Ability to work under pressure and be multi-task oriented.
