Position Summary:
Reporting to the Director of Operations & Administration (DOOA), the Salesforce System
Administrator will be a highly self-motivated individual capable of thriving in a small, fast-paced
entrepreneurial environment. Primary responsibilities include executing the day-to-day
configuration, support, maintenance, and improvement of our Salesforce Customer
Relationship Management (CRM) database and related processes. This includes providing
overall project management as well as testing and proposing solutions, changes, and
enhancements to the functionality and security of our Salesforce CRM system, managing and
developing a small team, training and supporting staff across departments, and maintaining
data integrity.
The Salesforce System Administrator will ensure that our company capitalizes on the benefits
offered by the Salesforce and CRM system. The position requires expertise in data
administration, querying, reporting, process management, and automation. The Salesforce
System Administrator is expected to apply a high degree of expertise and advanced knowledge
of Salesforce to provide top-level user support, coordinate activities among various
constituents, and understand the requirements and needs of the organization and its users. The
Salesforce System Administrator will work independently with minimal supervision, coordinate
activities among internal and external stakeholders, and manage a small team. A wide degree
of competency is expected.
Responsibilities:
System Administration
● Serve as the primary system administrator for the Salesforce platform and oversee all basic
administrative functions including user account maintenance, reports and dashboards,
workflows, and other routine tasks.
● Manage Salesforce roles, profiles, sharing rules, workflows, and groups.
● Become the expert and administrator for all existing reports and dashboards, and work with
users and Management to create customized reports and dashboards.
● Act as a power user of Excel to manipulate and analyze data from various sources as well as
provide additional reporting capabilities.
● Optimize and automate processes using Salesforce tools such as process builder, flow
automation, and validation rules. Ensure all processes are optimized for data integrity, system
performance, and usability.
● Train and support users in the daily use of Salesforce and other integrated platforms and
applications.
● Serve as the main point of contact for any issues related to the Salesforce CRM.
● Identify and gather requirements from users and stakeholders. Evaluate requirements and align
with business needs; discuss solutions and develop recommendations; manage and implement
changes as approved.
● Ensure all Salesforce-related processes (as well as associated training materials and user guides)
are documented and maintained.
● Complete regular internal system audits and prepare for regular Salesforce upgrades.
● Work directly with the development consultant to coordinate the implementation of new CRM
functionality and manage all development projects.
● Test enhancements and bug fixes; coordinate user acceptance, regression, and integration
testing; make changes and corrections as needed.
● Make recommendations on integration and software purchases.
Data Management
● Manage the daily, weekly, and monthly record uploads into the Salesforce system;
identify/resolve issues.
● Create and manage internal controls for quality data collection to ensure adequacy, accuracy
and legitimacy of data.
● Perform and/or oversee database maintenance tasks, including diagnostic tests and duplicate
entry cleansing.
● Ensure any data discrepancies through partner APIs or third party data sources are identified,
managed, and resolved.
Management and Development
● Hire, train, develop, and manage a team of high performing Salesforce and Data Support
Specialists.
● Manage team workloads and hold team accountable to results.
● Communicate with supervisor and department peers to share information related to projects,
identified issues, and to maintain awareness of activities occurring across the organization.
● Coordinate the communication of monthly system updates, enhancements, and fixes.
● Work with Director of Operations and Administration to administer and track employee
goals and objectives that align with organizational objectives.
● Establish training and development opportunities for staff (as approved by DOOA) so
they have the skills necessary to perform their job requirements.
Education and Experience:
● Bachelor’s degree preferably in computer science, management of information systems,
or equivalent combination of training and experience.
● 7+ years of professional experience in the implementation, administration, upgrading
and/or support of Salesforce CRM or similar SQL database.
● 3+ years of supervisory experience and team development.
● Experience in project management, data processing/management, and software
● Salesforce Admin Certification preferred. All candidates required to achieve and
maintain certification once employed.
Knowledge, Skills, and Competencies:
● Experience in performing Salesforce CRM upgrades and ensuring successful integration.
● In-depth knowledge of Salesforce Products and their functions.
● Proficiency in creating Salesforce profiles, allocating roles, and managing access.
● Strong critical thinking skills; ability to analyze information and make strategic
recommendations to drive business efficiencies and results.
● Excellent project management skills; ability to work under pressure, juggle multiple
projects.
● Able to take charge of all aspects of a project from assisting with establishing priorities,
setting and meeting deadlines, establishing metrics and performing post project
analysis.
● Demonstrate leadership, motivation, initiative, independence, and responsibility.
● Able to work with minimal supervision and direction.
● Ability to multi-task while maintaining attention to details.
● Excellent verbal and written communication skills.
● Demonstrated ability to work with diverse groups in a project team setting.
● Strong leader with proven effectiveness in managing and developing high performing
teams.
● Demonstrated strong interpersonal and team-building skills.

Physical Demands and Work Environment:
● Work environment is an office environment.
● Must be able to sit at work station, concentrate viewing computer screens for extended
periods of time.
● High utilization of office equipment, phone, computer, etc.
