Job summary

Service Experts Heating & AC LLC is seeking a detailed-focused dispatcher to support the Sales Team, Technicians, and Installers. You will maintain accurate data in our systems, communicate with customers about scheduled calls, and help optimize technician routing and capacity planning.

The role requires strong multitasking, excellent communication, and a customer-focused approach in a fast-paced HVAC service environment. Training is provided on internal systems and dispatch procedures.

Qualifications

• High school diploma or equivalent with 2 years’ experience in customer service or a similar role.
• Experience or training using computer systems in an administrative setting; AS400 experience desirable.
• Ability to multitask effectively in a fast-paced environment and adapt to change.
• Excellent customer service, communication, and interpersonal skills.
• Ability to learn local geographical areas and route planning concepts.

Responsibilities

• Supports Sales Team, Service Technicians, Maintenance Technicians, and Installers by maintaining accurate data in systems and communicating scheduled calls and follow-up visits.
• Communicates with customers to inform them of scheduled appointments, respond to inquiries, and help resolve issues.
• Plans and routes technicians and Residential Sales Consultants based on schedules, availability, and customer needs.
• Maintains capacity planning data and updates STARS and Dispatch Board; schedules follow-up referrals as needed.
• Calls customers to remind them of appointments and confirms arrival times; documents scheduling details.
• Enters sales appointment details, documents lead information, and updates appointments in the systems.
• Gathers information after a sales call and documents sale details or quotes; schedules follow-up after installation.
• Performs outbound calls to re-engage potential leads and assigns leads to Residential Sales Consultants.
• Generates reports and maintains lead and sales data; supports center/region contests and communications.
