Job summary

Nscale is seeking a proactive operations professional to serve as the data and process engine for our SaaS procurement function. You’ll manage contract transactions, maintain the contract repository, and provide billings and utilization data to support renewal negotiations.

You will blend contract administration with software asset management, ensuring accurate license counts and proactive risk assessment across a 150+ vendor portfolio.

Qualifications

• 2-4 years of experience in procurement operations, IT asset management, vendor management, or a comparable operations or finance-adjacent role.
• Comfort with transactional work (invoices, purchase orders, disputes) and analytical reconciliation of usage data and license counts.
• Working knowledge of NetSuite or a comparable ERP or procure-to-pay system.

Responsibilities

• Handle post-signature contract administration, including tracking redlines to close, maintaining the contract repository, and monitoring key dates.
• Create and manage purchase orders for SaaS spend in NetSuite or its successor procure-to-pay platform.
• Own invoice receipting and three-way matching, investigating and resolving discrepancies.
• Resolve billing disputes directly with vendors, including overcharges, seat-count mismatches, and proration errors.
• Build and maintain an inventory of what's licensed, deployed, and actually used.
• Reconcile license counts against SSO/Okta login data and usage telemetry to identify unused/underutilized software before renewal.
• Track true-up exposure and license compliance risks across the portfolio.
• Own the system of record for SaaS assets and help establish it where needed, moving beyond spreadsheets at this vendor scale.
• Support access reviews and evidence requests where license and access data intersect with SOX/ITGC controls.
