Job summary

Larkin Community Hospital in Florida seeks a Program Coordinator to oversee the operational and academic management of its accredited residency/fellowship training program. You will interact with the Program Director, GME Manager and GME Director to maintain compliance and streamline workflows.

You will manage trainee records, assist with orientation, coordinate exams and events, and support recruiting efforts while maintaining multiple databases and external relations.

Qualifications

• Minimum of 3 years of office administration experience required, preferably in an education and/or a healthcare setting.
• Minimum of 3 years of ACGME Program Coordinator experience is preferred.
• Excellent written and verbal communication skills.
• Extremely organized. Ability to analyze and organize information.
• Ability to handle sensitive information with absolute confidentiality.
• Intermediate knowledge of software applications including Microsoft Word, Excel, Outlook and PowerPoint.
• Ability to make decisions independently or to elevate issues as needed. Must be a problem solver.
• Ability to work in a high demanding, sometimes stressful environment. Must be able to handle stress and work with a sense of urgency.
• Ability to learn new software quickly. Ability to manage several software programs simultaneously.

Responsibilities

• Provides full support to the PD concerning program management. Identifies and evaluates methods for improving workflow and cost effectiveness.
• Interprets and applies ACGME, other accrediting agencies, and hospital policies to support compliance.
• Provides administrative supervision and support to residents/interns/fellows and liaises with hospital administration.
• Assists with trainee orientation and recruitment activities.
• Maintains databases with resident and faculty data, including New Innovations and ACGME ADS.
• Oversees purchasing for the program based on program needs and equipment training.
• Plans departmental events including recruitment, orientation, graduation, and faculty meetings.
• Maintains the program website and external program advertising/media.
• Manages ERAS database processes during Residency Recruitment season.
• Coordinates Match responsibilities and NRMP processes where applicable.
