Hotel Overview
InterContinental® Boston is a landmark luxury hotel with 424 rooms featuring waterfront and city views, a full‑service spa, fitness club, meeting spaces and multiple restaurants. Guests expect sophisticated service throughout the resort.
Your Day to Day
- Coordinate reservations and requests for business travel and transient accounts.
- Assist with coordinating reservations for small groups.
- Monitor general reservations email inbox and office phone; handle related requests and changes.
- Balance daily guest room inventory via Property Management System.
- Manage rooms control, hotel inventory, and coordinate with Front Office, Reservations, and Sales.
- Quote rates, book BT and consortia reservations, arrange billing, adjust reservations, upgrade guests, oversell, add notes, and coordinate with other departments.
- Confirm commission payments daily and investigate unpaid commissions.
- Run daily reports (cancellations, no‑shows, arrivals, reservations made yesterday, etc.).
- Review transient reservations for accuracy, update notes, and ensure proper billing.
- Maintain relationships with corporate clients, VIPs, frequent guests, and colleagues.
- Review and maintain 3rd‑party reservations (Expedia, Booking.com, Hotwire, etc.).
- Assist group reservations, prepare group history, billing, deposits, and provide reports during and after stay.
- Stay current on rates, promotions, facilities, and services.
- Attend pre‑meeting planning meetings or conferences as requested.
- Respond to guest concerns or complaints and communicate outstanding requests to management.
- Promote teamwork and quality service through daily communication with departments.
- Perform other duties as assigned.
What We Need From You
- Associate degree or equivalent experience.
- One year experience as front desk agent, reservations coordinator, or relevant field.
- Fluent in English.
- Strong communication, listening, typing, computer (Microsoft Office) and basic math skills.
- Knowledge of Opera PMS preferred.
- On‑site location; availability to work nights, weekends, and holidays.
