ECS is seeking a Recruiting Operations Coordinator to support the execution of key recruiting processes and ensure a smooth candidate experience. The role partners with Recruiting and HR to deliver accurate, timely, and compliant workflows in a fast-paced environment.

This remote, early-career friendly position focuses on interview logistics, offer administration, ATS maintenance, and reporting, with a strong emphasis on organization and collaboration across teams.

Qualifikationen

• 3+ years of experience in HR, recruiting coordination, or a related operational support role OR a Bachelor’s degree with at least 1 year of relevant experience supporting HR, recruiting, or structured operational workflows
• Experience with candidate management and interview scheduling
• Hands-on experience supporting or coordinating offer processes, onboarding workflows, or HR-driven approvals (e.g., requisition approvals)
• Experience managing or supporting structured workflows (e.g., referrals, approvals, or similar operational processes)
• Strong organizational skills with the ability to manage multiple priorities and meet deadlines
• High attention to detail with a focus on accuracy, data integrity, and process compliance
• Experience working with an Applicant Tracking System (e.g. ADP, Workday, iCIMS, Taleo, Greenhouse)
• Proficiency with Microsoft Office Suite (Excel, Word, Outlook), with ability to support reporting and data tracking
• Strong written and verbal communication skills, with the ability to interact professionally with internal stakeholders
• Ability to work independently while also collaborating effectively within a team environment

Aufgaben

• Coordinate interview logistics between candidates, recruiters, hiring managers, and interview teams.
• Manage calendar invitations and interview confirmations; provide timely, professional communication to candidates.
• Assist in drafting, coordinating, and tracking offer letters with Recruiting and HR.
• Maintain and route employee referrals and documentation in internal systems (e.g., SharePoint).
• Coordinate requisition approvals to ensure timely posting and throughout the hiring lifecycle.
• Perform job posting audits across internal systems and external job boards.
• Assist with candidate transitions from selection through onboarding coordination.
• Maintain ATS records and ensure data integrity of candidate and requisition activity.
• Prepare, validate, and distribute recruiting reports and metrics for leadership.
• Support job posting management across internal systems and external boards.
