Job summary

Jones Sign Company is seeking a detail‑oriented Proposal Manager to lead cross‑functional proposal efforts, coordinate RFP responses, and ensure accurate, compliant materials that support sales growth and customer experience.

You will collaborate with Sales, Estimating, Project Management, Design, Marketing, and Legal teams to gather inputs, manage timelines, and continuously improve proposal templates and processes.

Qualifications

• Bachelor’s degree in business, communications, marketing, project management, or related field preferred; equivalent experience considered.
• Experience supporting or managing proposals, RFP responses, or deadline-driven deliverables.
• Strong organizational skills balancing priorities, deadlines, stakeholders, and changing requirements.
• Attention to detail in reviewing documents for accuracy, completeness, formatting, and compliance.
• Excellent written and verbal communication; ability to clarify requirements and communicate risks professionally.
• Process-minded with ability to identify gaps and contribute to workflow improvements.
• Experience promoting proposal standards and training teammates on processes, templates, and tools.
• Proficiency with Microsoft Office and business systems used to manage proposal information; Salesforce/Proposify/SharePoint experience preferred.

Responsibilities

• Coordinate the proposal process from intake through submission and handoff to Project Management.
• Manage timelines, milestones, priorities, and dependencies across opportunities.
• Collaborate with Sales, Estimating, Project Management, Design, Marketing, Legal/Contract to gather inputs and drive progress.
• Review approvals, RFPs, and pricing to ensure complete, compliant proposals.
• Identify missing information and risks; recommend next steps and resolutions.
• Prepare and quality-control proposal templates, bid forms, and client-facing documents.
• Maintain proposal documentation standards and knowledge sharing.
• Communicate status, deadlines, risks, and changes to internal stakeholders.
• Share best practices and assist with training to ensure consistency.
• Contribute to continuous improvement for proposal accuracy and efficiency.
• Support tools, templates, and resources that enhance productivity.
