Job summary

Ballard Spahr LLP is seeking a Patent Projects Administrator to support the Intellectual Properties team. You will coordinate software upgrades, assist with docketing, onboard LAAs, and monitor USPTO rules. The role emphasizes proactive process improvement and collaboration across offices.

The position is fully remote with a salary range of $85,000–$105,000 annually, depending on experience and location, and requires strong communication and project-management skills.

Qualifications

• Extensive knowledge of PAIR, IPDAS, IP Manager.
• Proficiency in IPDAS, IP Manager, Microsoft Office and Outlook.
• Experience in strategic planning, project implementation, training development and staff supervision.
• Excellent written and verbal communication; ability to work under pressure.

Responsibilities

• Coordinate with Senior Manager of Litigation and IP Paraprofessional Support, department administration and outside vendors to ensure Patent practice software and databases are upgraded; review contracts and pricing.
• Support the Patent Docketing team with intake and outgoing file transfers, organizing transfer materials and transfer reports.
• Onboard, train and develop patent practice LAAs on IP-related skills and tasks.
• Monitor changes in USPTO and international rules; prepare summaries for department leadership.
• Manage daily USPTO document download process and distribute correspondence; perform QA on downloads.
