Job summary

Ballard Spahr LLP is seeking a Patent Projects Administrator to provide high-level support for the IP patent prosecution practice. The role emphasizes process improvement, docketing support, onboarding, and collaboration across offices.

Candidates should have experience with PAIR, IPDAS, IP Manager, and MS Office, with strong communication and supervision capabilities. The position is fully remote, with a salary range of $85,000–$105,000 and comprehensive benefits.

Qualifications

• Experience with IP databases and practice-specific tools (PAIR, IPDAS, IP Manager).
• Strong planning, project implementation and staff supervision skills.
• Excellent written and verbal communication; ability to work under pressure.

Responsibilities

• Coordinate with Senior Manager and staff to upgrade practice software and review contracts/pricing.
• Support docketing intake and file transfers; organize transfer materials and reports.
• Onboard and develop patent practice LAAs; train on IP tasks.
• Monitor USPTO/international rules; summarize changes for leadership.
• Manage daily USPTO document downloads; ensure accurate distribution of documents.
• Develop customized reports in IP Docketing system; support workflow and special projects.
• Implement new practices and provide improvement feedback; troubleshoot issues with clients.
• Coordinate and develop client portals; ensure maintenance.
