Job summary

Ballard Spahr LLP is seeking a Patent Projects Administrator to support the IP practice by coordinating software upgrades, docketing, onboarding LAAs, and policy improvements. Fully remote.

You will monitor USPTO and international rules, prepare leadership summaries, manage document downloads, and develop reports in the IP Docketing system; strong communication and supervision skills are essential.

Qualifications

• Proficiency in IPDAS, IP Manager and related databases.
• Experience in strategic planning, project implementation, and staff supervision.
• Strong written and verbal communication under pressure.

Responsibilities

• Coordinate upgrades of patent practice software and review contracts/pricing.
• Support Patent Docketing intake, file transfers, and transfer reports.
• Onboard, train and develop patent practice LAAs.
• Monitor USPTO and international rules; summarize for leadership.
• Manage daily USPTO document downloads and QC distribution.
• Develop and query reports in IP Docketing system for workflows.
• Implement new practices/policies and suggest improvements.
• Troubleshoot inquiries and communicate solutions to clients.
• Develop client portals and ensure maintenance where applicable.
