Job summary

Ballard Spahr LLP is seeking a Patent Projects Administrator to provide high-level support to fee earners and business professionals in the Intellectual Property practice. This fully remote role requires coordinating with attorneys, vendors, and docketing teams to upgrade software, manage contracts, and streamline processes.

You will onboard and train LAAs, monitor USPTO rules, and produce actionable reports to drive efficiency.

Qualifications

• Experience with IP law databases (PAIR, IPDAS, IP Manager) and Microsoft Office suite.
• Strong project coordination and multitasking abilities.
• Excellent written and verbal communication; able to work under pressure and meet deadlines.

Responsibilities

• Coordinate with Senior Manager and vendors to upgrade patent practice software and review contracts/pricing.
• Support the Patent Docketing team with intake and file transfers and ensure complete information for docketing.
• Onboard, train and develop patent practice LAAs in IP-specific skills and tasks.
• Monitor USPTO/international rule changes and summarize for leadership.
• Manage daily USPTO document download process and distribute accordingly.
• Develop customized reports within the IP Docketing system to support operations.
• Implement new practices, policies, and workflows and suggest improvements.
• Troubleshoot issues and communicate solutions to clients and internal teams.
• Coordinate and develop client portals and maintain them.
