Job summary

Ballard Spahr LLP in the United States seeks a Patent Projects Administrator to support the Intellectual Properties team. This fully remote role focuses on coordinating software upgrades, docketing processes, and client-related initiatives to drive efficiency.

You will onboard LAAs, monitor USPTO and international rules, produce reports, and help implement new practices. Strong IP databases knowledge and supervision experience are essential.

Qualifications

• Extensive knowledge of IP databases (PAIR, IPDAS, IP Manager) and related tools.
• Proficiency in Microsoft Office, Outlook, and database systems; strong technical skills.
• Experience in strategic planning, project implementation, training development, and staff supervision.

Responsibilities

• Coordinate with Senior Manager and vendors to upgrade patent practice software and review contracts.
• Support the Patent Docketing team with intake and transfers, organizing transfer materials and reports.
• Onboard and train patent practice LAAs on IP tasks.
• Monitor USPTO and international rules; summarize for department leadership.
• Manage daily USPTO document downloads and distribute to relevant personnel; perform QC.
• Develop and query customized reports in the IP Docketing system for workflows and special projects.
• Implement new practices and workflows; suggest enhancements.
• Troubleshoot problems or inquiries and communicate solutions to clients.
• Coordinate and develop client portals and ensure maintenance.
