Job summary

Ballard Spahr LLP seeks a Patent Projects Administrator to support the IP Prosecution practice. You will coordinate software upgrades, assist docketing, onboard LAAs, and monitor changes in USPTO rules, providing timely summaries to leadership.

The role emphasizes process improvement and cross‑office collaboration, with a fully remote arrangement. Strong IP systems knowledge and project management skills are essential.

Qualifications

Knowledge of PAIR, IPDAS, IP Manager and other IP databases.
Proficiency in IPDAS, IP Manager, Microsoft Office and Outlook.
Experience with database systems and related software.
Experience in strategic planning, project implementation, training development and staff supervision.

Responsibilities

Coordinate with senior management and admin teams to upgrade patent practice software and review contracts/pricing.
Support docketing team with intake, transfers and transfer materials.
Onboard and train patent practice LAAs on IP tasks.
Monitor USPTO and international rule changes; summarize for leadership.
Manage daily USPTO document download and distribute to staff with QC.
