Job summary

Ballard Spahr LLP is seeking a Patent Projects Administrator to support the Intellectual Properties team remotely. You will coordinate with leadership, manage docketing processes, onboarding, and develop reports to optimize operations across the IP practice.

The role requires strong IP systems experience and excellent communication. The position offers a competitive salary range of $85,000–$105,000 annually, with varying responsibilities and opportunities for growth within a nationally

Qualifications

• Extensive knowledge of PAIR, IPDAS, IP Manager and other IP databases.
• Experience with Microsoft Office, Outlook and various database systems.
• Experience in strategic planning, project implementation, training development and staff supervision.
• Excellent written and verbal communication, critical thinking and analytical abilities.
• Ability to work under pressure, manage multiple tasks and meet deadlines, with flexibility.

Responsibilities

• Coordinate with Senior Manager and others to upgrade patent software and review contracts/pricing.
• Support Patent Docketing team with intake, transfers, and transfer materials.
• Onboard, train, and develop patent practice LAAs.
• Monitor USPTO and international rules; summarize for department leadership.
• Manage daily USPTO document download and distribute to staff with QC.
• Develop and query reports in IP Docketing system for operations and projects.
• Implement new practices, policies, and workflows; suggest improvements.
• Troubleshoot issues and communicate solutions to clients and internal teams.
• Coordinate and develop client portals and maintain them.
