Ballard Spahr LLP is seeking a Patent Projects Administrator to support the IP practice. This role focuses on coordinating software upgrades, reviewing contracts, and assisting the Patent Docketing team with transfers and onboarding of staff.

You will monitor USPTO rules, prepare leadership summaries, and develop reports to optimize operations across the IP group. The position is fully remote, with a salary range of $85,000–$105,000 annually.

Qualifications

• Extensive knowledge of IP databases such as PAIR, IPDAS, and IP Manager.
• Proficiency in Microsoft Office, Outlook, and various database systems.
• Strong written and verbal communication, planning, training, and staff supervision.

Responsibilities

• Coordinate with senior management and outside vendors to upgrade patent software and review contracts.
• Support docketing team with intake, file transfers, and transfer materials to ensure completeness.
• Onboard, train, and develop LAAs in patent practice skills and tasks.
• Monitor USPTO/international rules and prepare summaries for leadership.
• Manage daily USPTO document downloads and distribute correspondence accurately.
• Develop customized reports in the IP Docketing system for operations and projects.
• Implement new practices and workflows; provide improvement ideas.
• Troubleshoot issues and communicate solutions to clients and colleagues.
• Coordinate and maintain client portals where applicable.
