Job summary

Ballard Spahr LLP is seeking a Patent Projects Administrator for its Intellectual Property team. This fully remote role provides high‑level support to fee earners and professionals, ensuring efficient docketing, software upgrades, and client‑facing projects across multiple offices.

The ideal candidate will have extensive knowledge of IP databases (PAIR, IPDAS, IP Manager), plus proficiency with Microsoft Office and Outlook. Strong planning, training, and staff supervision skills are essential.

Qualifications

• Extensive knowledge of IP databases such as PAIR, IPDAS and IP Manager.
• Strong proficiency with Microsoft Office, Outlook and related database systems.
• Experience in strategic planning, project implementation and staff supervision.
• Excellent written and verbal communication skills; ability to work under pressure.

Responsibilities

• Coordinate with senior management, administration and vendors to upgrade patent practice software and review contracts and pricing.
• Support the Patent Docketing team with intake, transfers, and transfer materials.
• Onboard, train, and develop patent practice LAAs on IP tasks.
• Monitor USPTO and international rules; prepare summaries for leadership.
• Manage daily USPTO document downloads and quality‑control document distribution.
• Develop and query reports in the IP Docketing system for workflows and special projects.
• Implement new practices and workflows; suggest improvements.
• Troubleshoot problems and communicate solutions to internal/external clients.
• Coordinate and develop client portals and maintain them.
