Ballard Spahr LLP in the United States is seeking a Patent Projects Administrator to support our Intellectual Property team in patent prosecution. The role emphasizes coordinating with the Senior Manager, docketing, onboarding, training, and ensuring software and databases are up to date.

Candidates should have experience with IPDAS, IP Manager, PAIR, Microsoft Office, and strong project-management skills. This position is fully remote and offers a competitive benefits package.

Qualifications

• Experience with IP databases such as PAIR, IPDAS, IP Manager.
• Proficiency in MS Office, Outlook, and database systems.
• Ability to supervise staff and manage multiple priorities.

Responsibilities

• Coordinate with Senior Manager and IP Paraprofessional Support to upgrade patent practice software and review contracts/pricing.
• Support Patent Docketing team with intake and file transfers, organize transfer materials and reports.
• Onboard, train and develop patent practice LAAs on IP-specific skills and tasks.
• Monitor USPTO and international rules; prepare summaries for department leadership.
• Develop customized reports within the IP Docketing system to support workflows and projects.
• Ensure new practices and workflows are implemented and communicate improvements.
