Job summary

Ballard Spahr LLP is seeking a Patent Projects Administrator to support IP prosecution operations in a fully remote role. You will coordinate software upgrades, docketing processes, training, and client initiatives across a national practice.

The ideal candidate has deep experience with PAIR, IPDAS, IP Manager, and MS Office, with strong project management and supervision abilities to drive efficiency and service excellence for attorneys and clients.

Qualifications

Extensive knowledge of PAIR, IPDAS, IP Manager, and other IP databases.
Proficiency in IPDAS, IP Manager, Microsoft Office, Outlook, and database systems.
Experience in strategic planning, project implementation, training development, and staff supervision.

Responsibilities

Coordinate with Senior Manager and IP staff to upgrade practice software and review contracts/pricing.
Support Patent Docketing team with intake, transfers, and transfer materials.
Onboard and train patent practice LAAs on IP tasks.
Monitor USPTO/international rule changes; summarize for leadership.
Manage daily USPTO document download and distribution of documents.
Develop and query reports in IP Docketing system for workflow support.
Suggest and implement new practices and workflows.
Troubleshoot problems and communicate solutions to clients and staff.
Coordinate and develop client portals where applicable.
