Ballard Spahr LLP is seeking a Patent Projects Administrator to provide high-level operational support within the Intellectual Property practice. The role emphasizes coordination across docketing, contract review, and strategic project initiatives, with daily interaction with attorneys and external vendors.

The position requires strong IP database proficiency (PAIR, IPDAS, IP Manager) and advanced Microsoft Office skills.

Mansioni

• Coordinate with Senior Manager of Litigation and IP Paraprofessional Support and outside vendors to upgrade patent practice software and review contracts/pricing.
• Support Patent Docketing with intake, transfers, and preparation of transfer materials and reports.
• Onboard, train and develop LAAs in intellectual property tasks and skills.
• Monitor USPTO and international agency rule changes and summarize impacts for leadership.
• Manage daily USPTO document downloads and distribute correspondence to relevant staff with quality control.
• Develop and query reports in the IP Docketing system to support workflows and special projects.
• Recommend improvements to new practices, policies, and workflows.
• Troubleshoot issues and communicate solutions to internal/external clients.
• Coordinate and develop client portals and ensure maintenance where applicable.
