Job summary

Ballard Spahr LLP seeks a Patent Projects Administrator for its Intellectual Properties team. This fully remote role supports patent prosecution through docketing, onboarding, training, and process improvements across multiple offices.

The ideal candidate has deep IP database experience (PAIR, IPDAS, IP Manager) and strong MS Office skills, with a track record in project management and staff supervision. Collaboration across offices is essential.

Qualifications

• Requires knowledge of IP databases and tools such as PAIR, IPDAS, IP Manager, and other IP databases.
• Proficiency with Microsoft Office, Outlook, and various database systems is essential.
• Experience in strategic planning, project implementation, training development, and staff supervision is required.

Responsibilities

• Coordinate with Senior Manager of Litigation and IP Paraprofessional Support to upgrade patent practice software and review contracts/pricing.
• Support Patent Docketing team with intake, file transfers, and docketing information.
• Onboard, train, and develop patent practice LAAs on IP-specific skills and tasks.
• Monitor USPTO and international rules; summarize changes for department leadership.
• Manage daily USPTO document download and distribute it to staff with QC checks.
• Develop queries and reports in the IP Docketing system for operations and special projects.
• Help implement new practices and workflows with improvement suggestions.
• Troubleshoot inquiries and communicate solutions to clients and internal teams.
• Coordinate and develop client portals and maintain them.
