Job summary

Ballard Spahr is seeking a Patent Projects Administrator to provide high-level support to the IP prosecution team, coordinating docketing, software upgrades, contracts, and pricing reviews across the practice in a fully remote role. Qualifications

• Knowledge of IP databases (PAIR, IPDAS, IP Manager) and related tools.
• Experience with docketing, contracts review, and pricing arrangements.
• Strong MS Office, Outlook, and database system skills.

Responsibilities

• Coordinate with IP staff and vendors to upgrade practice software and review contracts/pricing.
• Support docketing intake and file transfers; organize materials and reports.
• Onboard, train, and develop patent practice LAAs on IP tasks.
• Monitor USPTO and international rules; summarize for leadership.
• Manage daily USPTO document downloads and distribute to teams.
• Develop reports in IP Docketing system for workflows and special projects.
• Implement new practices, policies, and workflows; suggest improvements.
• Troubleshoot inquiries and communicate solutions to clients and staff.
• Coordinate and manage client portals where applicable.
