Job summary

Workana LLC is seeking a detail-oriented Accounts Payable Specialist for a part-time, remote contractor role supporting a U.S.-based consumer wellness and e-commerce company. The role focuses on AP processing, vendor management, and timely, accurate results while aligning with internal approvals.

You will work with the Corporate Controller and Assistant Controller, handling routine AP tasks and ensuring compliance with procedures. 15–20 hours/week, remote from Latin America, during US ET hours.

Qualifications

• 3+ years hands-on Accounts Payable experience, preferably for US-based companies.
• Experience processing vendor invoices and AP workflows using an ERP system.
• NetSuite experience is highly preferred; other ERP experience considered.

Responsibilities

• Process and enter vendor invoices into NetSuite with accurate GL coding and period assignment.
• Review invoices for accuracy, completeness, and duplicates.
• Match invoices to purchase orders when applicable and attach supporting documentation.
• Coordinate invoice approvals with managers and maintain holds until approvals are received.
• Monitor the AP inbox, respond to vendor inquiries, and follow up on outstanding invoices.
• Create and maintain vendor records, collecting W-9 and ACH information.
• Communicate with vendors to resolve billing discrepancies and obtain documentation.
• Collaborate with Finance on month-end closing activities.
• Escalate unusual or disputed invoices to the appropriate team members.
