Job summary

Offshore Launch is seeking a remote office manager for a family‑owned plumbing/septic business in the US. You will answer calls and website leads, manage the Housecall Pro schedule for three crews, collect deposits, and file permits through final inspection.

The owner will shift to installations and sales as you take on the office load. By day 60 you become the administrative backbone of the business, with calls no longer tied to the owner's cell, bookings flowing through Housecall Pro, and

Qualifications

• 2+ years as an office manager, dispatcher or operations coordinator for field service
• Experience answering customer calls as a core part of the job
• Experience running a schedule/dispatch for multiple field crews
• Hands-on with Housecall Pro (preferred) or similar platform
• Experience collecting deposits and following up on invoices
• Clear, confident written and spoken English for US homeowners

Responsibilities

• Call handling and booking: answer calls and website leads, quote septic charge, book into schedule
• Scheduling and dispatch: manage crews, create 2-hour arrival windows, handle reschedules
• Accounts receivable: collect deposits up front and final payment at completion
• Estimates and service agreements: maintain pricing and service agreements
• HR and onboarding: onboard/offboard techs, post ads and screen applicants
• Permits and licensing: file permits through final inspection
• Inbox management: monitor Gmail inbox for leads daily
• Lead source reporting: report leads to marketing agency monthly
• Process documentation: document recurring tasks for consistency
