Zusammenfassung

Offshore Launch is seeking a remote office manager for a family-owned plumbing company in the US. You will own the office end-to-end, handling calls, dispatch, job tracking, estimates, and payments.

You will act as the administrative backbone, guiding plumbers and updating the owners daily on sales, collections, and upcoming work. Ideal candidates have 2+ years in office/dispatch roles, experience with field service software, and strong English communication.

Qualifikationen

• 2+ years in an office management/dispatcher/CSR role for field service companies.
• Experience handling calls/texts and owning a dispatch board.
• Experience using field service software (FieldPulse, Housecall Pro, ServiceTitan, Jobber or similar).
• Clear, confident written and spoken English for US homeowners.

Aufgaben

• Own the dispatch board as the single source of truth; schedule and assign technicians and equipment.
• Answer all calls, texts, and leads from a shared inbox; log in the field service software the same day.
• Review open jobs daily from booking to invoicing; ensure updates and notes are posted.
• Follow up on estimates and close out cold leads; monitor payments and deposits.
• Verify commissions and hours for payroll; support payroll cycle with accurate data.
• Track permits and COIs for jobs; ensure compliance before work is scheduled.
• Provide end-of-day summaries of sales, collections, and tomorrow's board items.
• Documentation of recurring tasks into clear written processes.
