Job summary

Offshore Launch is seeking an Office Manager for a growing residential plumbing operation in Florida. You will own the front office, manage calls, scheduling, estimates, invoicing and data integrity in ServiceTitan, Housecall Pro or similar platforms, while ensuring smooth daily operations.

The role requires 2+ years in office coordination, strong English communication, and attention to detail. This is a remote-friendly position with US Eastern hours and comprehensive benefits; the team values

Qualifications

• 2+ years in office management, dispatch, customer service or operations coordination.
• Hands-on ServiceTitan experience preferred; or experience with Housecall Pro, Jobber or a similar platform.
• Excellent spoken English and a confident, warm phone presence.
• High drive and close attention to detail; follow-through without being chased.

Responsibilities

• The phones. You’re the first voice customers hear, answer and book calls for service, estimates and emergencies.
• Scheduling and dispatch. Build and manage technicians’ daily schedules and update customers on arrival times.
• Estimate follow-up. Follow up on every open estimate per SOP until closed or declined.
• Invoicing and collections. Invoice when jobs are complete, collect payments and keep receivables current.
• Clean data. Keep ServiceTitan accurate with time, costs, job details and lead sources.
• Permits and compliance paperwork. Track COIs and local requirements so nothing lapses.
• Vendor coordination. Be the point of contact for bookkeeper, marketing agency and payroll provider.
• SOPs. Follow and maintain the company SOPs for every office workflow.
