Job summary

HireHawk Inc. is seeking a remote Medical Records & Billing Coordinator to own the retrieval of medical records and itemized bills for personal injury cases. You will submit HIPAA requests, follow up with providers, and ensure all documentation supports demand preparation.

You will independently manage high volumes, maintain accurate case notes, and work with case managers to close documentation gaps while meeting deadlines on a 8:00 a.m.–5:00 p.m. PST schedule.

Qualifications

• Experience requesting and retrieving medical records and bills from U.S. providers.
• Knowledge of HIPAA authorizations and handling confidential information.
• Strong written and spoken English with outbound calls to U.S. offices.
• Ability to manage high volumes of requests and meet deadlines independently.
• Proficient in Microsoft Excel and digital tracking systems.

Responsibilities

• Obtain medical records and itemized bills from U.S. providers to support case documentation.
• Submit HIPAA-compliant records requests and authorizations.
• Follow up actively to keep requests moving and resolve delays.
• Maintain accurate request statuses and case notes in tracking tools.
• Review received records for completeness and relevance to the client’s case.
• Coordinate corrections with providers to resolve discrepancies.
• Prepare cases for the demand stage with complete documentation.
• Keep department leads and case managers informed of progress and delays.
• Meet productivity and quality standards while handling high volumes of work.
• Assist with opening claims and related administrative tasks as needed.
