Qualifications

• 2–3 years of project coordination or related experience.
• Strong organizational skills with attention to detail.
• Experience with schedules, spreadsheets, trackers, and documents.
• Excellent written and verbal communication.
• Proficient in Microsoft Office (Excel, Outlook) and online collaboration tools.
• Ability to work independently in a remote environment.
• Comfortable coordinating with internal teams and vendors.

Responsibilities

• Maintain project trackers, calendars, checklists, and deadlines.
• Coordinate meetings, document notes, track action items, and follow up on outstanding tasks.
• Manage event registration lists, RSVPs, spreadsheets, and related reporting.
• Assist with event preparation, including organizing materials, tracking orders, and coordinating deliveries.
• Follow up with vendors and internal stakeholders to confirm deliverables and deadlines.
• Organize project documentation, invoices, files, and event records.
• Monitor the marketing inbox, respond to routine inquiries, and route requests to appropriate team members.
• Provide timely status updates, identify missing information, and provide follow-up as needed.
• Support additional administrative and project coordination activities as needed.
