Job summary

Team Up is seeking a Fleet Administrator for a fully remote role. You will maintain fleet data, support vehicle allocation, and ensure GDPR and compliance across systems.

Responsibilities include data entry, reconciliation across databases, and coordinating with operations to keep records up to date. Familiarity with fleet management and MS 365 tools is essential; prior Jaama Key2 experience is a plus. James Ryan, Team Up HR, may be involved.

Qualifications

• 1–2+ years in administration or data management.
• Strong organizational and detail-oriented skills.
• Experience with fleet, vehicle or asset management is a plus.

Responsibilities

• Maintain accurate vehicle, driver, and fleet data across systems.
• Perform data entry across fleet databases and systems.
• Ensure fleet records are complete, accurate, and up to date.
• Coordinate and reconcile information across fleet systems.
• Manage vehicle and driver information in line with GDPR and policies.
• Support vehicle allocation, returns and leaver processes.
• Track vehicle movements and availability for efficient operations.
• Ensure documentation and system updates are completed on time.
• Support accident, SMR, and incident records administration.
• Assist with fleet compliance, safety and audits.
• Communicate maintenance schedules and requirements to teams.
• Respond to routine queries and escalate as needed.
• Provide guidance on fleet systems and processes.
• Maintain communication with clients, candidates, and stakeholders.
• Identify opportunities to improve data accuracy and processes.
• Support continuous improvement across fleet administration activities.
• Carry out other reasonable duties as requested.
