Job summary

[solidcore] is seeking a Facilities Project Coordinator to support the daily maintenance and upkeep of our studios. This fully remote role favors candidates in the Pacific Time Zone and may require travel to our Arlington, VA headquarters.

You will manage multiple facilities projects, coordinate work orders in the CMMS (FEXA), and serve as the main liaison between internal teams, vendors and building management to ensure on-time delivery and compliance.

Qualifications

• 2+ years of experience in facilities coordination, vendor management, or multi-site operations.
• Aptitude for prioritizing multiple projects.

Responsibilities

• Coordinate and track multiple facilities projects from initiation to completion.
• Manage a high volume of work orders across varying priorities with timely responses.
• Serve as primary contact between internal teams, vendors, and building management.
• Communicate project timelines and expectations to field and regional teams.
• Solicit, review, and manage vendor bids and proposals.
• Issue and manage work orders through CMMS FEXA.
• Coordinate contractor site access, scheduling, and on-site activity.
• Ensure vendors meet compliance, insurance, and safety requirements.
• Coordinate with studio field teams to minimize disruption during projects.
• Enter and update project data in FEXA.
• Serve as on-call point of contact for studio teams up to twice per month.
• Ad hoc projects (e.g., review vendor performance, rollout new vendor pilots).
• Support other Facilities Project Coordinators when out of office.
