Job summary

Confidential, a high-growth beverage company, is seeking an exceptional Executive Assistant to the CEO. This role partners with the founder/CEO to manage time, priorities, and overall effectiveness as the company scales.

Based in the NYC Tri-State area with primarily remote work, the candidate will occasionally travel domestically to meetings and events, supporting projects beyond traditional EA duties and ensuring strategic alignment.

Qualifications

  • 3–5+ years of experience supporting a CEO, founder, C-suite executive, or senior leader in a fast-paced environment.
  • Experience within a startup or growth-stage consumer-focused company is strongly preferred.
  • Experience supporting an executive in a remote or geographically distributed organization is a plus.
  • Exceptional calendar management and prioritization skills across multiple time zones.
  • Strong written and verbal communication skills.
  • Excellent judgment, discretion, and emotional intelligence.
  • Highly detail-oriented while maintaining an understanding of the bigger picture.
  • Demonstrated ability to work autonomously, anticipate needs, and take initiative.
  • Comfortable with technology and learning new systems; experience with Google Workspace, Slack, Microsoft/OneDrive, Asana, and AI productivity tools is helpful.
  • Comfortable using AI thoughtfully and efficiently while independently verifying information and maintaining appropriate judgment around confidential material.
  • Must reside in the NYC Tri-State area and be able to travel into Manhattan as needed.
  • Flexibility for occasional domestic travel and schedule adjustments based on the CEO's needs.

Responsibilities

  • Own and proactively manage the CEO's complex calendar across multiple time zones, aligning with company priorities.
  • Anticipate scheduling conflicts, preparation needs, travel requirements, and follow-ups.
  • Coordinate domestic and international travel with detailed itineraries and last-minute changes.
  • Prepare the CEO for important meetings with agendas, context, information, and materials.
  • Attend select meetings, capture key takeaways and follow-through items.
  • Serve as gatekeeper and point of contact for internal and external stakeholders.
  • Translate executive meetings into clear next steps with deadlines and deliverables.
  • Support leadership meetings, board meetings, and company-wide events.
  • Take ownership of special projects and operational initiatives.
  • Assist with corporate and executive communications and represent the CEO when appropriate.
  • Act as an extension of the CEO with sound judgment and discretion.
  • Handle sensitive and confidential information.

Executive Assistant to CEO - Confidential | High-Growth Beverage Company
NYC / Tri-State Area | Primarily Remote

We are partnering with an exciting, high-growth consumer/beverage brand to hire an exceptional Executive Assistant to the CEO. This is a unique opportunity to work closely with a dynamic founder/CEO and serve as a trusted partner in helping manage her time, priorities, and effectiveness as the company continues to grow.

While the position is primarily remote, candidates must be based in the NYC Tri-State area and able to get into Manhattan as needed for meetings, work sessions, and other in-person commitments. There may also be occasional domestic travel for larger company meetings and events.

This role offers the opportunity to operate beyond traditional executive assistance. The right person will be comfortable owning complex executive support while also taking on project management, communications, meeting follow-through, and Chief of Staff-adjacent responsibilities.

What You'll Do
  • Own and proactively manage the CEO's complex calendar across multiple time zones, ensuring her time is aligned with the company's highest priorities.
  • Anticipate scheduling conflicts, preparation needs, travel requirements, and follow-ups before they become issues.
  • Coordinate domestic and international business travel, including flights, hotels, ground transportation, detailed itineraries, and last-minute changes.
  • Prepare the CEO for important meetings by ensuring she has the appropriate agendas, context, information, and materials.
  • Attend select meetings, capture key takeaways and action items, and ensure appropriate follow-through.
  • Serve as a thoughtful gatekeeper and point of contact for internal and external stakeholders.
  • Help translate executive meetings and priorities into clear next steps, tracking deadlines, deliverables, and commitments.
  • Support executive leadership meetings, board meetings, company-wide events, and other important company initiatives.
  • Take ownership of special projects and operational initiatives, often with limited direction.
  • Assist with corporate and executive communications and communicate on behalf of the CEO when appropriate.
  • Act as an extension of the CEO when needed, representing her priorities and the company with sound judgment, professionalism, and discretion.
  • Handle sensitive and confidential information with the highest degree of discretion.

You should be someone who can move seamlessly between managing a complicated calendar, troubleshooting travel, preparing an executive for a critical meeting, and taking ownership of a project that doesn't come with a detailed playbook.

Base Salary: $100,000–$130,000 + Annual Bonus
