Job summary

SonderMind is seeking a Documentation Specialist to support clinical compliance and provider workflows. You will manage information flow, perform chart audits, and partner with therapists and psychiatrists to ensure documentation meets payer and regulatory standards.

This full-time, remote role supports a fast-paced environment across multiple EHR and payer portals, serving as a subject-matter expert on timelines, safety plans, and chart completion while safeguarding patient care and billing

Qualifications

• 1–2+ years of administrative or care coordination experience in healthcare.
• Strong working knowledge of clinical documentation standards, medical records management, and HIPAA regulations (preferred).
• Proven proficiency navigating EHR platforms and administrative tracking systems (Google Workspace, Excel, portals).

Responsibilities

• Manage Session Notes and Records across payer portals and EHR system ensuring error-free integration.
• Monitor and follow up on outstanding documentation ensuring compliance.
• Serve as point of contact for clinicians regarding documentation procedures and workflows.
• Maintain real-time tracking logs of documentation statuses and HIPAA compliance.
• Assist onboarding of new providers with documentation expectations and workflows.
• Coordinate documentation exchanges between clinicians and insurance liaisons to resolve discrepancies.
• Identify bottlenecks and provide feedback to improve daily workflows and efficiency.
• Handle other tasks as needed.
