Job summary

SMArtX Advisory Solutions is seeking a Billing Specialist to support monthly billing and accounts receivable processes. You will ensure invoices are accurate, post revenue and payments, and reconcile customer accounts with attention to detail.

The role requires independence in a fast-paced environment and a proactive approach. The position offers a remote, full-time role within the US, with opportunities to handle special projects and develop expertise in billing systems like QuickBooks Online

Qualifications

• 1–2 years in billing, AR, bookkeeping, or related accounting function.
• Associate degree in Accounting, Finance, Business Administration, or related field preferred.
• Equivalent combination of education and experience considered.
• Advanced Excel: PivotTables, XLOOKUP/VLOOKUP, INDEX/MATCH, SUMIFS.
• Proficient in QuickBooks Online.
• Experience with SAP Ariba a plus.
• Experience with proprietary billing/accounting systems preferred.
• Strong attention to detail and numerical accuracy.
• Strong organizational and time-management skills.
• Ability to manage multiple responsibilities and meet deadlines.
• Ability to work independently with minimal supervision.
• Resourceful, proactive, and able to take initiative.
• Able to adapt to changing priorities in a fast-paced environment.
• Professional written and verbal communication skills.

Responsibilities

• Assist with the monthly billing process to ensure invoices are accurate and completed on schedule.
• Generate and distribute monthly invoices to customers.
• Post revenue accurately within the company's accounting and billing systems.
• Post payments received to the appropriate customer accounts.
• Reconcile customer accounts and research payment discrepancies, deficits, and unapplied balances.
• Monitor outstanding invoices and follow up with customers regarding unpaid balances.
• Update, review, and verify customer billing rates in the billing system.
• Respond to customer billing inquiries and resolve account discrepancies.
• Maintain accurate billing records and supporting documentation.
• Assist with special projects and other duties as assigned by the manager.
