Job summary

The role reports to the Director of Access Optimization and focuses on optimizing scheduling systems and workflows.

Qualifications

  • Bachelor’s degree in healthcare administration, business, analytics, or related field.
  • Minimum two (2) years’ experience in ambulatory access, patient access, healthcare operations, or project coordination.
  • Or equivalent combination of education and experience.
  • Epic certification in at least one application (or ability to obtain within 6 months).

Responsibilities

  • Project & Program Management: Develops, updates, and monitors complex project workplans, milestone tracking sheets, risk logs, and leadership status reports to ensure the execution, governance, and long-term sustainment of cross-functional ambulatory optimization initiatives (35% of time).
  • Provider Capacity & Template Optimization: Audits provider scheduling structures within the electronic health record system, executes change requests, and monitors utilization rates daily to maximize clinical capacity and align schedules with organizational standards (20% of time).
  • Scheduling, Referral Systems & Analytics: Analyzes daily referral work queues, extracts access performance metrics, and coordinates data-cleansing activities with clinical departments to ensure the accuracy of operational reports and patient lead-time tracking (20% of time).
  • Implementation & Sustainment Support: Coordinates post-implementation workflow reviews, documents operational feedback, and implements system adjustments during scheduled optimization cycles to transition newly launched clinical sites into steady-state operations (15% of time).
  • Epic & Cross-Functional Collaboration: Conducts system testing, documents user workflows, and coordinates system updates with the finance team to align scheduling practices with revenue cycle guidelines (10% of time).
