Job summary

House of Hearts ABA seeks an Operations Manager to lead day-to-day operations across multiple states in a 100% remote role. You will oversee staffing, scheduling, intake, billing, and ensure a responsive, client-centered experience throughout the care journey.

You will collaborate with clinical, administrative, and billing teams to align systems, develop SOPs, track KPIs, and drive efficient workflows while fostering a culture of accountability and mission-driven service.

Qualifications

• Minimum 3 years of experience in healthcare operations, ABA, or a similar client-service field.
• Proven leadership experience overseeing cross-functional teams and workflows.
• Exceptionally organized and process-driven, with strong follow-through.
• Excellent communication and problem-solving skills.
• Proficient with Google Workspace, EHRs, CRMs, and scheduling systems.
• Bachelor's degree required; Master's degree preferred.

Responsibilities

• Staffing & scheduling: oversee onboarding, deployment, and coverage with optimal utilization.
• Client services oversight: onboard new clients, monitor progress, ensure service consistency.
• Intake & onboarding oversight: supervise intake, verification, authorization, and documentation.
• Billing oversight: supervise billing, monitor denials, coordinate resolutions.
• Operational leadership: align clinical, billing, and admin functions; track KPIs.
• Team & culture: mentor teams, promote collaboration, and drive accountability.
