House of Hearts ABA is seeking an Operations & Scheduling Coordinator (ABA Therapy) for a 100% remote, full-time role in the United States. You will oversee scheduling and staffing for ABA services, coordinating with families, BCBAs, and RBTs to move clients from intake to active services efficiently.

Qualifications

• Prior administrative/operations experience in an ABA therapy company.
• Direct experience handling ABA scheduling and staffing.
• Hands-on experience using CentralReach (strongly preferred).
• Understand the complexity of ABA scheduling, cancellations, and utilization expectations.
• Comfortable working in a fast-paced, growth-oriented environment.

Responsibilities

• Coordinate client start dates in a timely and organized manner
• Build therapy schedules with families based on availability and clinical recommendations
• Match RBT availability with client needs and geographic location
• Propose suitable clients to new incoming RBT candidates based on their location and availability preferences
• Update CentralReach daily with scheduling changes
• Manage last-minute cancellations and staffing changes in real time
• Maintain accurate, up-to-date scheduling systems
• Ensure clients move from intake to active services as quickly and efficiently as possible
