Job Summary

The Registrar Services Specialist, under direction, providesadministrative and operational support to include updating studentrecords, implementing customer service initiatives, conductingtraining sessions, entering grade changes, and updating degreeprograms.

Essential Duties and Responsibilities
  • Reviews documents and forms for completeness and tracks filesfor follow up and distributes for review.
  • Research and resolve complex issues and respond to inquiries.Inputs data and updates electronic databases.
  • Assists with the administration of financial processes.Advises, investigates, problem-solves and resolve questions andissues about student accounts.
  • May coordinate and perform training.
Additional Responsibilities
  • Supports the operations of records management while complyingwith federal, state, and university management retentionpolicies.
  • Supports the operations of records management by providing fullcycle records management services for the University's inactiverecords including timely disposal services for confidential andsensitive records while complying with state, federal, anduniversity management retention policies.
  • Receives and evaluates transcripts and credit by examinationresults of existing students; enters transfer work into studentrecords transfer credit system while maintaining general transferequivalencies; responds to inquiries from other campus officials,students, and other institutions concerning transfercredit.
  • Provides advising and examines academic records of students todetermine progress towards degree and eligibility forgraduation.
  • Disseminates information to students to include programadmission criteria, course registration options, degree completion,and when needed, refers students to appropriate university officesfor assistance.
  • Teaches students regarding program monitoring and planningbased on catalog requirements.
  • Assists with graduation activities and finalcheck-outs.
  • Assists with the general functions and activities of the Officeof the University Registrar.
  • Participates in professional development opportunities toenhance advising knowledge and record management skills.
Minimum Requirements
  • Education - Bachelor's degree from an accreditedinstitution of higher education.
  • Experience - One year of experience in student services,retention, advising or other related area.
Knowledge and Abilities
Knowledge of
  • Word processing, spreadsheet, and database programs.
  • General office practices and procedures.
Ability to
  • Communicate effectively, orally and in writing.
  • Interact effectively and professionally with the general publicand the students served.
  • Plan, organize, and perform tasks accurately and independently.
  • Strong time-management skills.
  • Maintain confidentiality and abide by federal, state, system,and institutional rules and regulations.
Licensing / Professional Certification -

None.

General office environment.

This position generally does not supervise employees.
