Pronto AI is seeking a Project Coordinator to own scheduling and logistics across customer sites. You will coordinate operators, field technicians, and site visits, build schedules, arrange travel, and manage expenses while ensuring staffing aligns with project needs.

Based in San Francisco, this role requires strong organization, communication, and the ability to adapt to fast-changing priorities. You’ll work closely with the Director of Program Management to keep projects running smoothly.

Qualifications

• 2+ years of experience in scheduling, dispatch, project, or travel coordination.
• Exceptional organization and prioritization under fast-paced pressure.
• Strong written and verbal communication for stakeholder updates.
• Proficiency with scheduling tools, spreadsheets, travel booking platforms, and expense management systems.
• High attention to detail and reliable follow-through.

Responsibilities

• Build, update, and manage master schedules and site visits for operators and field technicians.
• Respond to last-minute scheduling changes and flag conflicts to leadership.
• Book and manage end-to-end travel arrangements within company policies.
• Prepare, submit, and track expense reports and travel cost documentation.
• Serve as liaison for field staff and project stakeholders, maintaining records.
