Job summary

CASES is seeking a Program Assistant to support the ROAR ATI program in the Bronx. The role handles administrative tasks, data gathering, and coordination with various departments and officials.

Hours are Monday–Friday 9:00 AM–5:00 PM, full-time, with on-site work at 412 E 147th St, Bronx. You’ll interact with staff, executives, and providers, contributing to youth services and events.

Qualifications

  • High school diploma required; college degree preferred for advancement.
  • Ability to manage multiple activities and prioritize appropriately.
  • Excellent production skills for reports in readable formats.
  • Demonstrated ability to be a team player and maintain discretion.

Responsibilities

  • Coordinate day-to-day administrative activities under guidance of the Team Leader.
  • Assist in gathering, preparing and disseminating information for ROAR operations.
  • Work with staff across departments to support ROAR unit operations.
  • Provide front desk coverage 2 days a week and as needed.
  • Schedule meetings, manage materials, and handle project follow-ups.

Job Title: Program Assistant

Job Summary:

CASES seeks a Program Assistant who is committed to advancing alternative-to-incarceration programming for young people aged 16-27 through our ROAR program. (ROAR is an alternative-to-incarceration (ATI) program incorporating evidence-based practices to provide individualized services to young people with a range of needs, challenges, and goals.) The Program Assistant reporting to the Team Leader provides a wide range of administrative duties to support departmental program operations. The Program Assistant will interact with program directors and staff, executive staff, government officials, researchers, consumers, and service providers. The ideal candidate will have exceptional organizational skills and attention to detail; strong social and communication skills; a good sense of humor; an interest in skill development; and a tolerance for ambiguity that allows him/her to excel in a fast-paced, deadline-driven work environment at a growing agency.

While this is administrative position, we function as a team, and all staff members work to support our mission with our youth. All staff interact with our young people.

Shift Hours: This position is full-time Monday – Friday from 9:00 AM - 5:00 PM

Salary: The salary for this role is $47,741 per year

Location Address: 412 E 147th St, Bronx, NY 10455. Our office is easily accessible by public transportation.

What You Will Be Doing:

  • Coordinate day-to-day administrative activities based on Team Leaders’ guidance and goals; initiate action on day-to-day matters not specifically requiring the action of the Team Leader.
  • Assist in gathering, preparing and dissemination of information to Team leader and staff relating to the administration and management of the ROAR unit.
  • Work collaboratively with key staff in central administration, information services, fiscal, development, and the Court Services and Education, Career and Enrichment units to support the operations and management of the ROAR unit.
  • Provide front desk coverage 2 days a week and as needed.
  • Schedule and coordinate conference calls, interviews, meetings, and training.
  • Manage departmental information and materials (e.g., staff rosters, policy manuals).
  • Facilitate requests from the ROAR unit to support services (e.g., human resources, information services, facilities).
  • Ability to quickly learn electronic databases to access information and use project management software and data visualization tools.
  • Process fiscal documents (e.g., invoices, check requests, credit card expenditure forms).
  • Prepare meeting materials (e.g., graphs, charts) and take meeting minutes ensuring meeting action items are documented and executed by responsible staff; independently handle some project management of follow-up items.
  • Assist in gathering data and compiling information for the Team Leader to share with executives, development, special projects staff and government and private funders and licensing agencies.
  • Plan and set up special events for staff and participants.
  • Photocopying, scanning, faxing, mailing, ordering food and supplies, etc.
  • Participate in special projects as needed.
  • Maintain confidentiality of program participants as per city, state, and federal standards.
  • Initial contact person for new program participants.
  • Assist participants with ordering necessities.
  • Other duties, as assigned by the Team Leader or agency executive staff.
