Job summary

Phoenix House of New York | Long Island is seeking a Program Administrator to oversee daily site operations and administrative duties under the Program Director. Responsibilities include record-keeping, budget awareness, and coordinating with HR, finance, and facilities.

The role requires strong communication, leadership, and problem-solving skills, with experience in substance use disorder settings preferred. Excellent organizational abilities and proficiency in MS Office are expected.

Qualifications

  • Bachelor's degree preferred; high school diploma required.

Responsibilities

  • Detail oriented management of all record keeping and tracking of petty cash.
  • Coordinates with human resources, finance, and facilities on behalf of the Program Director to ensure program needs are met.
  • Evaluates and monitors the facility and reports findings to the program director and facilities manager.
  • Ensures program compliance with all governing entities (OASAS, DOL, etc.).
  • Completes monthly STARS/HRA reports and other required reports for the Program Director.
  • Maintains CDS system accuracy reflecting current population.
  • Organizes campus events for patients and/or staff.
  • Conducts monthly inventory and places orders as needed.
  • Assists the admin with Personal Needs Allowance records and client sign-offs.
  • Attends regular program leadership meetings for note taking and follow-ups.
